Executive Assistant
Executive Assistant to the CEO
Type:
Full time, permanent
Job description:
- Communication: As the Executive Assistant, you will be the gatekeeper of the CEO’s email, phone, and messaging accounts. You will be responsible for responding to or forwarding messages as appropriate, handling routine inquiries, and triaging more complex ones to the CEO.
- Project Management: The CEO may initiate several projects, and you may be responsible for managing them from beginning to end. This will include establishing timelines, coordinating with team members, and keeping the CEO informed of progress.
- Travel Planning: You’ll be responsible for making sure the CEO’s travel plans go off without a hitch, from booking flights to arranging for a unicorn to pick them up at the airport (just kidding, but it never hurts to ask, right?).
- Research and Analysis: The CEO may require research on various topics, and you will be responsible for conducting that research and presenting your findings in a clear and concise manner.
- Relationship Management: The CEO may have several key relationships, such as clients or board members. It will be your responsibility to maintain those relationships by keeping in touch, scheduling meetings, and addressing any concerns they may have.
- Event Planning: The CEO may attend various events, and you may be responsible for planning and coordinating these events, including logistics, invitations, and follow-up.
- Time Management: The CEO is likely to have a lot of demands on their time, and you will be responsible for helping them manage their time effectively. This may be a challenge, as the CEO may actively try to be disorganized or resist structure in order to leave space for new ideas and spontaneity. Your role will be to strike a balance between allowing for the CEO’s creative freedom while also ensuring that priorities are set, tasks are delegated appropriately, and deadlines are met. You may need to use your ninja scheduling skills to gently guide the CEO towards a more organized approach, while also being adaptable to changes and interruptions that may arise. Ultimately, your goal is
to help the CEO make the most of their time, while also allowing room for their ENTP creativity to flourish. - Confidentiality: The CEO is likely to share sensitive information with you, and it will be your responsibility to keep that information confidential and secure.
Overall, as an Executive Assistant to an ENTP CEO, you will need to be highly organized,
proactive, and able to work independently. You should also be comfortable with ambiguity and
able to adapt quickly to changing priorities.
Requirements:
- Proven experience as an Executive Assistant supporting a high-level executive with a personality profile of ENTP.
- Strong organizational skills, attention to detail, and the ability to multitask and prioritize effectively
- Excellent verbal and written communication skills, with the ability to interact with people at all levels of the organization
- A knack for staying calm in high-pressure situations, especially when the CEO is on a roll.
- A proactive approach to problem-solving, with the ability to anticipate needs and take action accordingly.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Excellent time management skills and the ability to work independently.
The Executive Expansion Pack aka Executive Assistant to the CEO is a superhero role that requires a special set of skills. If you’re ready to put your organizational and problem-solving powers to the test, and if you have a good sense of humor and the ability to keep up with lightning-fast thinking, then we want to hear from you!
