Office 365 portal

Categories

This guide applies only to people that will be using our Team Desktop. People using Individual Desktop can use any license they want from Office 365. For the Team Desktop, you will need to have an Apps for Enterprise, Business Premium, E3 or E5 O365 license. Those are the Microsoft restrictions for multi-users environment.

Buying a new Office 365 Business license

You will not be able to buy a new Business license from your Office 365 Family portal. You need to go on their Business website here and select Buy now at the top.

Changing from Family plan to Business/Enterprise

There are no easy ways to do it. Microsoft doesn’t allow you to upgrade from a Home/Personal/Family plan to a Business/Enterprise plan. You will need to buy a whole new license and then migrate your data over. It’s important you do NOT cancel your existing subscription before you buy your new one or you won’t be able to access your data.

Here are the steps you should follow:

  • Buy a new Office 365 Business/Enterprise license
  • Create users account
  • Migrate Outlook data
  • Cancel your Family plan

Lets review these steps together:

Buying a new Office 365 Business license

You will not be able to buy a new Business license from your Office 365 Family portal. You need to go on their Business website here and select Buy now at the top. Please note that the least expensive license supported in our Team Desktop is Business Premium.

Fill out all the required information to complete your account setup and enter your payment information. Microsoft will give you the first month for free (it might change anytime).

You now have a license for Office 365 Business Premium. You can continue to the next step to assign the license to a user.

Create a new user

You have one user created automatically when you buy a license. If you don’t need additional users, you can skip this step. Open the menu on the left side and select Users – Active users.

You can select Add a user or Add multiple users to do it in bulk.

Fill out the required information and select Next.

You can now assign the license automatically and select Next.

You may select a different role for this user. For the security reasons the best practices recommend always allowing the least privilege possible to the users. We recommend keeping the default User role. Select Next.

Review the information and select Finish adding. The user will be added under the tabs Users – Active users and will already have the Business premium license assigned.

Assigning the license to an existing user

The license you bought can’t be used by anyone unless you assign it to a user. You need to navigate to the left menu under Users – Active users.

You can now select the user without license by checking the square on the left of his display name. Select Manage product license and then Add license. This will prompt another window with the available license that you can toggle on/off. Hit Save changes

How to upgrade an existing license

First, you need to buy the new license, if you are already on a Business plan (e.g. Business Standard) you can upgrade it directly from your Office 365 account as shown below. If you have a Family or personnel plan, you will need to create a new account as shown above.

Go to Billing and then Purchase services.

Select Details and confirm your payment information and the number of required licenses.

Repeat the steps above to assign the new license to a user and you are done

Backing up your emails in Outlook (Calendar, Tasks, Events…)

You can follow these simple steps from Microsoft. This is how you will do it when changing from a Family plan to a Business plan.
